QuickBooks Online Setup

Good businesses keep good books, and it is pretty much forced. You can use QuickBooks or NetSuite or Oracle but regardless of the tool, it is a necessary evil. Unless you have an Accounting Degree, you likely want to spend as little time working on your books as possible. We’ll help you setup an efficient accounting system in your office that you can maintain with relative ease. We’ll create journal automations, integrations, and a reporting schedule that will help you understand strengths and weaknesses in your business before they get out of hand.

Business Settings

We have setup all versions of quickbooks, but unless you have complex product builds or inventory systems that need order integration, QuickBooks Online will usually suffice.

Your business settings from Discounts, Advanced Pricing, Product Categorization, Inventory, Job Accounting, Custom Invoices and Purchase Orders, Sales Tax and Shipping all need to be setup the right way out of the gate. A few hours of Accounting Design can make a world of difference in your financial results, and in your profitability, process design and cash-flow tracking.

Payroll Integration

QuickBooks Full Service Payroll is not the least expensive options, but it integrates with your accounting software and you submit your payroll through the same interface. Each staff member gets a free login to QBO that allows them to enter their time. QBO also has plugins so you can better manage your staff time entry, audit, and verify time is correct based on IP or time of entry. The interface allows you to approve the time, adjust it if needed, and automatically pays your taxes, workers comp, and benefits deductions. When the transactions are automatically imported from your national bank, you have matched transactions you don’t need to reconcile in the audit trail. You’ll also get great reporting for deductions, taxes, and decision making.

QuickBooks Merchant Account

We have used virtually every merchant account under the sun. We have found them to save very little money once implemented, even with a massive transaction volume. Generally the difficulty with other credit card processors is they do not natively integrate with Quickbooks. They say the will, but in truth, you still have to reconcile what card transactions cleared and reconcile that based on nothing more than the last four numbers of the charging credit card. It is a daunting task that can take hours for a small or recurring transaction business.

With QuickBooks Merchant Services, it will cost you 10 to 15 basis points more, but the time savings and error reduction is well worth the nominal expense. When credit card batch deposits are made, quickbooks automatically creates the deposit, and matches that to the deposit in your bank account when you import from your national bank. No Other Credit Card Processor Can Offer This…NONE! We have looked and tried. It just isn’t worth the headache. The backbone is on Chase’s PaymenTech backbone. We have tried going direct to Chase with the same native integration, and they do not support it. QuickBooks native API to PaymenTech is designed to make this process so convenient that they will charge you a little extra for it. Worth every cent, but there are a few hangups to getting started.

You’ll want to have us set this up for you so you are not only getting the best deal, but so your first charges don’t get flagged, they don’t hold up your deposits, and if you take HSA or Medical Savings Accounts, to get these approved.
